Refund Policy
1. Overview
This Refund Policy describes the terms under which you may receive a refund for GeoPin subscriptions. It applies to all paid subscriptions (Pro and Enterprise) and should be read in conjunction with our Algemene Voorwaarden.
GeoPin strives for fair and transparent billing. We understand that circumstances can change and we aim to handle all refund requests promptly and fairly.
2. Monthly Subscriptions
2.1 Cancellation
You may cancel your monthly subscription at any time. Cancellation takes effect at the end of your current billing period. You retain access to the Service and your plan features until the end of the period for which you have already paid.
2.2 Refund Eligibility
Monthly subscriptions are not eligible for partial refunds. Because monthly subscriptions are billed in short intervals and you can cancel at any time before your next billing date, partial monthly refunds are not provided.
Whether you cancel on the first day or the last day of a billing period, you receive the same access — the full remainder of that billing period.
2.3 Exception
If you have been incorrectly charged (e.g. due to a billing error on our part, or after you had already cancelled), you are entitled to a full refund of the erroneous amount. See Sectie 8 for details.
3. Annual Subscriptions
3.1 Cancellation
You may cancel your annual subscription at any time. After cancellation, you retain access to the Service until the end of the annual period for which you have already paid. Your subscription will not renew for the following year.
3.2 No Partial Refund
Annual subscriptions are not eligible for partial refunds. You paid for a full year and you get a full year of access. After cancellation, your subscription remains active until the end of the paid annual period. No refund is provided for the remaining months after cancellation.
When subscribing, you agree to immediate access to the service and waive your right of withdrawal (14-day cooling-off period). Once you have performed a search, refunds are no longer possible. See Section 7 for more information.
4. Consumed Usage
GeoPin processes geolocation requests in real time. Once an API request has been processed and a result returned, that usage is considered consumed and is not eligible for a refund, regardless of:
- Whether you found the result useful or accurate.
- Whether the result met your expectations.
- Whether you intended to make the request (e.g. unintended requests from automated systems).
This is because each request consumes computational resources (GPU inference time, bandwidth and infrastructure costs) that cannot be recovered after the fact.
If you believe you have been charged for requests that were not actually processed (e.g. requests that returned server errors with 5xx status codes), please contact us with the relevant request IDs and timestamps, and we will investigate and credit your account accordingly.
5. SEPA Direct Debit
If you pay via SEPA direct debit, the following additional terms apply:
5.1 Mandate
By subscribing to a paid GeoPin plan with SEPA direct debit, you grant GeoPin a SEPA direct debit mandate authorising us to collect payments from your bank account. You will receive a mandate reference and our creditor ID for your records.
5.2 Pre-notification
In accordance with the SEPA Core Direct Debit Scheme, we will notify you by email at least 5 business days before each collection, stating the amount and collection date. This notification is included in the invoice sent to your registered email address.
5.3 Chargebacks
Under the SEPA Core Direct Debit Scheme, you have the right to request a refund of a direct debit from your bank within 8 weeks of the debit date, without giving a reason. This is a right provided by the SEPA scheme and your bank, independent of GeoPin's refund policy.
For unauthorised direct debits (debits without a valid mandate), you have the right to request a refund from your bank within 13 months of the debit date.
Note: although you have the right to reverse SEPA direct debits through your bank, exercising this right for legitimately owed amounts (instead of contacting us for a refund) may result in suspension of your GeoPin account pending investigation. We encourage you to contact us first at info@geopin.nl to resolve any billing disputes.
5.4 Failed Collections
If a SEPA direct debit fails (e.g. due to insufficient funds, a closed account or a revoked mandate), we will notify you by email and provide 14 days to arrange an alternative payment. If payment is not received within this period, we may suspend your access to the Service.
5.5 Mandate Revocation
You may revoke your SEPA direct debit mandate at any time by notifying your bank or by contacting us at info@geopin.nl. Revoking the mandate does not cancel your subscription — you must arrange an alternative payment method or cancel your subscription separately.
6. How to Cancel
You can cancel your GeoPin subscription using one of the following methods:
6.1 By Email
Send a cancellation request to info@geopin.nl from the email address associated with your GeoPin account. Please include:
- Your registered email address.
- A statement that you wish to cancel your subscription.
- Whether you have an annual or monthly subscription.
6.2 Processing
We will confirm receipt of your cancellation request within 2 business days. Our confirmation will include the end date of your access to the Service.
6.3 Effective Date
Cancellation takes effect at the end of your current billing period. You retain full access to the Service until that time. We do not charge any cancellation fees.
6.4 Data After Cancellation
After cancellation, your account data will be handled in accordance with our Privacybeleid. You may request an export of your data before cancellation. API keys will be revoked at the end of the billing period.
7. Cooling-off Period (Right of Withdrawal)
Under EU Directive 2011/83/EU and the Dutch implementation (Act of 12 March 2014), consumers in the European Union are in principle entitled to a 14-day cooling-off period.
7.1 Waiver of Right of Withdrawal
Under Article 16(m) of Directive 2011/83/EU, the right of withdrawal does not apply to the supply of digital content (not on a tangible medium) if performance has begun with your prior express consent and your acknowledgement that you thereby lose your right of withdrawal.
When subscribing to GeoPin, you agree to immediate access to the service and waive your right of withdrawal (14-day cooling-off period). Once you have performed a search, refunds are no longer possible.
This consent is explicitly requested during the checkout process. By subscribing, you confirm that you:
- Agree to immediate access to the digital service.
- Acknowledge that you thereby waive your right of withdrawal once the service has been used.

8. Exceptional Circumstances
In addition to the standard refund terms above, GeoPin may grant refunds in the following exceptional circumstances:
8.1 Billing Errors
If you have been incorrectly charged due to a technical error, duplicate billing or a charge after a confirmed cancellation, you are entitled to a full refund of the erroneous amount. Contact us with your invoice number or transaction reference and we will investigate and process the refund within 5 business days.
8.2 Extended Service Outage
If the GeoPin service is unavailable for a continuous period of more than 72 hours due to circumstances within our control (excluding planned maintenance announced at least 48 hours in advance), affected paid subscribers may request a credit or extension of their subscription period for the period of unavailability.
8.3 Material Change of Terms
If we make material changes to the Terms of Service, rates or features in a way that significantly reduces the value of your subscription, and you cancel as a result, you retain access to the Service until the end of your paid period. No partial refund is provided, but we may at our sole discretion offer a credit or extension. This applies only if you cancel within 30 days of the change taking effect.
8.4 Goodwill Refunds
We reserve the right to grant goodwill refunds or credits at our sole discretion in circumstances not covered by this policy. Such goodwill gestures do not create a precedent or obligation for future refund requests.
9. Enterprise Plans
Enterprise plan customers operate under individually negotiated agreements that may contain different refund and cancellation terms. If you are an Enterprise customer, the refund terms in your Enterprise agreement prevail over this policy.
